Introduction
TruckExpense (“the App”, “we”, “our”) is a mileage tracking and expense management application designed for truck drivers and independent owner-operators. This Privacy Policy explains what data the App collects, how it is used, and your rights regarding that data.
By using TruckExpense, you agree to the practices described in this policy.
Data We Collect
Location Data
The App collects GPS location data when you use the trip tracking feature. This includes:
- Geographic coordinates (latitude and longitude)
- Speed
- GPS accuracy
- Timestamps of recorded points
Location data is used exclusively to calculate trip distance, generate route maps, and display your driving history within the App.
Background location: If you enable the Auto-Start Tracker feature, the App collects location data in the background while you are driving. This requires “Always” location permission on your device. Background location is used solely to record mileage automatically without requiring manual interaction while driving.
Optional place hint for Voice Entry: If you have already granted location access and you use Voice Entry, the App may take a one-shot reading of your current position and convert it on-device (via Apple’s reverse geocoding) into a city and state name (for example “Chicago, IL”). Only that place name may be sent with the voice request — not coordinates and not your trip history. If location access is off, Voice Entry still works; the place field is simply left blank unless you say a place out loud.
Financial Data
The App stores financial records you enter or import, including income, expenses, categories, notes, and fuel purchase details extracted from fuel card statements. This data is used to generate your financial reports and spending summaries within the App.
Optional Bank Account Linking (Plaid)
TruckExpense can optionally connect a personal or business bank or card account so you can review recent posted transactions and import selected ones as expenses or income.
- Initiated by you only. Bank linking starts only when you choose Connect bank / card in Settings.
- Credentials. Bank usernames and passwords are entered only inside Plaid Link. We never see or store your bank login credentials.
- What we receive. Through Plaid we may receive linked-account metadata (institution name, account name/mask/type) and posted transaction details you sync for review (for example date, amount, merchant/description, and Plaid category hints). Pending bank holds are filtered out before review.
- What we store server-side. To keep the link working, our Cloudflare Worker stores Plaid access tokens and linked-item metadata in encrypted Cloudflare KV storage. Those tokens are not stored in the iOS app binary.
- What stays on your device. After you review and import selected transactions, the imported records are saved in the App’s local storage with your other expenses and income. Unimported sync results are not kept as your permanent ledger.
- Disconnect. When you disconnect a linked bank in the App, we remove the corresponding Plaid item/access token from our store and revoke access with Plaid where supported. Transactions you already imported remain on your device until you delete them or uninstall the App.

Photos and Documents
If you attach receipt images to your records, import fuel card statements, import a driver schedule (PDF, screenshot, or file), or use Receipt Recognition, the App may access your photo library, camera, or Files. Supported imports include PDF, CSV, Excel, and screenshots. Photos and imported files used for your records are stored locally on your device unless you choose an optional AI path described below.
Fuel Card Statement Import
TruckExpense can import fuel purchases from fuel card statements so you do not have to enter them manually.
- On-device parsing: For many known statement formats, the App reads and extracts purchase lines entirely on your device. In those cases, the statement file or screenshot is not uploaded.
- Optional AI parsing: If a statement format is not recognized locally, or you import screenshots / files that require AI extraction, the App sends the selected file or image (as binary content) to our secure processing proxy so an AI model can extract fuel purchase lines (date, merchant, location, product, gallons, amount, and similar fields). Extracted lines are returned to the App for your review before any expense records are created. You choose when to use this import feature.
Driver Schedule Import
TruckExpense can import a driver schedule from a PDF, screenshot, or file so jobs and timeline events appear in the App.
- Import is always initiated by you (for example by picking a file or screenshot).
- The selected file or image is sent to our secure processing proxy and forwarded to an AI model solely to extract schedule rows (activity, dates, job numbers, locations, weight, cost, and similar fields).
- Results are returned to the App for your review. You confirm changes before they are applied to your local schedule. Nothing is applied automatically without that confirmation.
Voice Entry (Microphone)
TruckExpense can draft a transaction from a spoken note so you do not have to type while on the road.
- Recording is never automatic. The microphone is activated only after you tap the voice button, and it stops as soon as you tap again or the 60-second recording limit is reached. The App does not listen in the background and has no wake word.
- What is sent: the short audio clip you just recorded is transmitted to our secure processing proxy and forwarded to an AI model, which transcribes it and extracts fields such as amount, category, date, city/state if spoken, and optional fuel details. The list of your category names, the current date, and your device time zone are sent with it so the model can match an existing category and resolve relative dates (for example “yesterday”).
- Approximate place name: if you have already granted location access, the App may also send the city and state name you are currently in (see Location Data above) when you do not say a place out loud. No coordinates and no location history are sent.
- What is not sent: your transaction history, balances, trip GPS points, and photos are not included in the request.
- Retention on device: the clip is written to a temporary file only for the duration of the request (and briefly if you choose to retry a failed send) and is deleted from your device afterwards. It is not added to your records and is not stored on our systems as an archive.
- Review: nothing is saved automatically. Recognized values open the regular New Transaction form, where you confirm or edit them before a record is created.
Receipt Recognition
TruckExpense can draft a transaction from a photo of a store or fuel receipt.
- Import is always initiated by you (camera or photo library).
- The selected receipt image is sent to our secure processing proxy and forwarded to an AI model solely to extract fields such as amount, merchant, date, category, city/state if printed, and optional fuel gallons.
- The list of your category names, the current date, and your device time zone are sent with it so the model can match an existing category.
- Approximate place name may also be sent if you have already granted location access and the receipt has no readable city/state (same one-shot place label used for Voice Entry).
- Results fill the New Transaction form for your review. The same photo remains attached as a receipt image on your device. Nothing is saved automatically until you tap Done.
Usage Data
The App does not collect analytics, crash reports, or behavioral data for advertising or profiling. No usage statistics are sold or used for marketing.
How We Use Your Data
All data collected by TruckExpense is used solely to provide the features of the App.
- Location / GPS: Track trip mileage, generate route maps, calculate distances; optionally supply a city/state place name for Voice Entry when you have granted location access.
- Financial records: Display income and expense reports, calculate net income, generate statistics.
- Photos / receipts: Attach images to expense and income records; import statements or schedules you select.
- Fuel statements: Parse or extract fuel and DEF purchases into draft expense entries you can review and save.
- Driver schedule: Extract schedule rows into a draft you review before applying locally.
- Voice Entry: Transcribe a short recording you start and draft a transaction for your review.
- Receipt Recognition: Extract amount, merchant, category, and related fields from a receipt photo you select, for your review before saving.
- Bank linking (Plaid): Connect accounts you choose, sync recent posted transactions for your review, and import selected rows into your local ledger.
We do not use your data for advertising, profiling, or any purpose beyond operating the App’s features.
Data Storage
Most app data is stored locally on your device.
Your trips, financial records, categories, trailer layouts, driver schedule, work calendar marks, backups you have not shared, and imported expenses are stored in the App’s private storage on your device, protected by iOS security and your device passcode or biometrics. The App does not require an account or registration.
Limited network processing (optional features):
1. AI features: When you use AI-assisted fuel statement import, driver schedule import, Voice Entry, or Receipt Recognition, the content you selected — a statement file, a schedule screenshot or PDF, the voice clip you just recorded, or a receipt photo — is transmitted over the internet to our processing proxy for temporary analysis and is forwarded to Google’s Gemini API solely to extract the structured data for that feature. We do not use that content for advertising. We do not permanently store your files or recordings as a personal data archive on our systems for later reuse; processing is performed to fulfill the request you initiated. Google’s handling of API requests is governed by Google’s privacy policy and applicable Gemini API terms.
2. Bank linking: When you connect or sync a bank through Plaid, the App talks to our Cloudflare Worker, which talks to Plaid. Bank login happens in Plaid Link. Our Worker stores Plaid access tokens and linked-item metadata needed to sync accounts. Transaction payloads returned for review may pass through that Worker to the App. Imported transactions are then stored locally on your device.
All other core features (manual expenses, on-device statement parsers, GPS tracking storage, reports) work with local data and do not upload your location history or manually entered ledger to our servers.
Data Sharing
We do not sell, rent, or license your personal data.
Your location history, financial records, and photos are never shared with advertisers, analytics providers, or data brokers.
Limited disclosure necessary for optional features:
AI features: When you choose AI-assisted fuel import, driver schedule import, Voice Entry, or Receipt Recognition, the content you selected or recorded is disclosed to:
1. Our processing proxy (hosted on Cloudflare Workers) — receives the file, image, or voice clip to run the request securely (API keys are not embedded in the App).
2. Google Gemini API — receives that content solely to extract fuel purchase lines, schedule rows, or a spoken transaction draft, and to return structured results to the App.
Bank linking: When you choose to connect a bank or card:
1. Plaid — receives your bank credentials inside Plaid Link and provides linked-account metadata and transaction data to our Worker under your consent. See Plaid’s End User Privacy Policy: https://plaid.com/legal/#end-user-privacy-policy.
2. Our processing proxy (hosted on Cloudflare Workers) — stores Plaid access tokens / linked-item metadata and relays sync results to the App. Bank passwords are not stored there.
Apple services used on device: Route calculations for Recover Missing Trip use Apple MapKit. Optional reverse/forward geocoding for a city/state place name uses Apple’s Core Location geocoding. Those requests are governed by Apple’s privacy policy.
These parties process the data only to provide the feature you initiated. The App does not integrate advertising networks or third-party analytics SDKs.
Data Backup and Export
TruckExpense includes a built-in backup and restore feature. When you create a backup:
- A JSON file is generated on your device containing your financial records, trip data, and other app data you choose to include in the backup.
- This file is shared via iOS’s standard sharing interface (AirDrop, Files app, email, etc.).
- You control where this file goes. The App does not send it anywhere automatically.
If you choose to store this backup in iCloud Drive or share it via email, that action is governed by Apple’s privacy policy, not ours.
Data Retention
Your locally stored data remains on your device for as long as you use the App. You can delete individual records at any time within the App. Deleting the App removes associated local data from your device.
For optional AI features (fuel import, schedule import, Voice Entry, Receipt Recognition), content is processed to complete your request. We do not keep a lasting archive of your uploaded files or voice clips for our own use.
For optional bank linking, Plaid access tokens and linked-item metadata remain in our Cloudflare KV store while the bank stays connected. When you disconnect the bank in the App, we delete that server-side link data and revoke access with Plaid where supported. Imported transactions already saved on your device are retained until you delete them or uninstall the App.
Third-party processors (Cloudflare, Google, Plaid, Apple for MapKit/geocoding) may retain technical logs or process data according to their own policies and retention periods.
Children’s Privacy
TruckExpense is not directed at children under the age of 13. We do not knowingly collect data from children. The App is intended for use by professional truck drivers and business operators.
Your Rights
You remain in control of your data:
- Access: View your data within the App at any time.
- Export: Use the built-in backup feature to export your data.
- Delete: Delete individual records or uninstall the App to remove local data.
- Optional AI features: Do not use AI fuel import, schedule import, Voice Entry, or Receipt Recognition if you prefer that selected files, voice clips, or receipt photos never leave your device. On-device fuel parsers remain available for many statement formats.
- Bank linking: Do not connect a bank if you prefer that account metadata and synced transactions never pass through Plaid or our Worker. You can disconnect a linked bank at any time in Settings → Bank Accounts.
- Location Permission: Revoke location access at any time in iOS Settings → Privacy & Security → Location Services → Truck Expense.
- Microphone Permission: Revoke microphone access at any time in iOS Settings → Privacy & Security → Microphone → Truck Expense. Other features keep working without Voice Entry.
Location Permission Details
TruckExpense may request the following location permissions.
“While Using the App” — Used for manual trip tracking when the App is open in the foreground, and (if already granted) for the optional one-shot city/state place hint during Voice Entry.
“Always” — Used for the Auto-Start Tracker feature, which automatically detects and records driving trips in the background. This permission is optional. If you prefer not to grant “Always” access, you can use manual trip tracking instead, which only requires “While Using” permission.
You can change location permissions at any time in:
iPhone Settings → Privacy & Security → Location Services → Truck Expense
Microphone Permission Details
TruckExpense requests microphone access only for the optional Voice Entry feature. The App records only after you tap the voice button to start a session, and never in the background.
If you decline, every other feature keeps working — you simply add transactions with the regular form.
You can change microphone access at any time in:
iPhone Settings → Privacy & Security → Microphone → Truck Expense
Photo and Files Access
TruckExpense may request access to your photo library or Files so you can:
- Attach receipt photos to transactions
- Import fuel card statement screenshots or documents
- Import driver schedule screenshots or documents
- Save load photos (for example, from trailer features) to your library when you choose
Access is used only for features you initiate. We do not scan your photo library in the background.
Third-Party Services
TruckExpense uses the following services and Apple frameworks:
- Apple MapKit — Used to display route maps and calculate driving directions for the Recover Missing Trip feature. Route calculation requests are sent to Apple’s servers. See Apple’s Privacy Policy: https://www.apple.com/legal/privacy/.
- Apple Core Location / geocoding — Used on device to turn a one-shot GPS reading or a spoken city name into a city/state label for Voice Entry when needed. See Apple’s Privacy Policy: https://www.apple.com/legal/privacy/.
- Apple WidgetKit — Used to display the mileage tracking widget on your home screen. Data is passed locally between the App and the widget via App Group storage.
- Cloudflare Workers — Hosts our processing proxy for optional AI features and for optional Plaid bank-linking / sync. See Cloudflare’s Privacy Policy: https://www.cloudflare.com/privacypolicy/.
- Google Gemini API — Used only when you choose one of those AI features, to extract purchase lines, schedule rows, a spoken transaction draft, or receipt fields from the content you selected or recorded. - Plaid — Used only when you choose to connect a bank or card, to authenticate with your financial institution and retrieve account/transaction data for review and optional import. See Plaid’s End User Privacy Policy: https://plaid.com/legal/#end-user-privacy-policy.
No advertising SDKs or third-party analytics SDKs are used.
Changes to This Policy
If we make material changes to this Privacy Policy, we will update the Last Updated date at the top of this page. We encourage you to review this policy periodically.
