Privacy Policy — TruckExpense

Introduction

TruckExpense (“the App”, “we”, “our”) is a mileage tracking and expense management application designed for truck drivers and independent owner-operators. This Privacy Policy explains what data the App collects, how it is used, and your rights regarding that data.

By using TruckExpense, you agree to the practices described in this policy.

Data We Collect

Location Data

The App collects GPS location data when you use the trip tracking feature. This includes:

Geographic coordinates (latitude and longitude)

Speed

GPS accuracy

Timestamps of recorded points

Location data is used exclusively to calculate trip distance, generate route maps, and display your driving history within the App.

Background location: If you enable the Auto-Start Tracker feature, the App collects location data in the background while you are driving. This requires “Always” location permission on your device. Background location is used solely to record mileage automatically without requiring manual interaction while driving.

Financial Data

The App stores financial records you enter or import, including income, expenses, categories, notes, and fuel purchase details extracted from fuel card statements. This data is used to generate your financial reports and spending summaries within the App.

Photos and Documents

If you attach receipt images to your records, or import fuel card statements, the App may access your photo library, camera, or Files. Supported imports include PDF, CSV, Excel, and screenshots of fuel card statements. Photos and imported files used for your records are stored locally on your device unless you choose the optional AI import path described below.

Fuel Card Statement Import

TruckExpense can import fuel purchases from fuel card statements so you do not have to enter them manually.

On-device parsing: For many known statement formats, the App reads and extracts purchase lines entirely on your device. In those cases, the statement file or screenshot is not uploaded.

Optional AI parsing: If a statement format is not recognized locally, or you import screenshots / files that require AI extraction, the App sends the selected file or image (as binary content) to our secure processing proxy so an AI model can extract fuel purchase lines (date, merchant, location, product, gallons, amount, and similar fields). Extracted lines are returned to the App for your review before any expense records are created. You choose when to use this import feature.

Usage Data

The App does not collect analytics, crash reports, or behavioral data for advertising or profiling. No usage statistics are sold or used for marketing.

How We Use Your Data

All data collected by TruckExpense is used solely to provide the features of the App.

Location / GPS: Track trip mileage, generate route maps, calculate distances.

Financial records: Display income and expense reports, calculate net income, generate statistics.

Photos / receipts: Attach images to expense and income records.

Fuel statements: Parse or extract fuel and DEF purchases into draft expense entries you can review and save.

We do not use your data for advertising, profiling, or any purpose beyond operating the App’s features.

Data Storage

Most app data is stored locally on your device.

Your trips, financial records, categories, trailer layouts, backups you have not shared, and imported expenses are stored in the App’s private storage on your device, protected by iOS security and your device passcode or biometrics. The App does not require an account or registration.

Limited network processing (optional fuel AI import only): When you use AI-assisted fuel statement import, the selected statement file or screenshot is transmitted over the internet to our processing proxy for temporary analysis and is forwarded to Google’s Gemini AI API solely to extract structured fuel purchase data. We do not use that content for advertising. We do not permanently store your statement files as a personal data archive on our systems for later reuse; processing is performed to fulfill your import request. Google’s handling of API requests is governed by Google’s privacy policy and applicable Gemini API terms.

All other core features (manual expenses, on-device statement parsers, GPS tracking storage, reports) work with local data and do not upload your financial records or location history to our servers.

Data Sharing

We do not sell, rent, or license your personal data.

Your location history, financial records, and photos are never shared with advertisers, analytics providers, or data brokers.

Limited disclosure necessary for optional AI fuel import: When you choose AI-assisted import, the statement content you selected is disclosed to:

1. Our fuel-statement processing proxy (hosted on Cloudflare Workers) — receives the file to run the import request securely (API keys are not embedded in the App).

2. Google Gemini API — receives the statement content solely to extract fuel purchase lines and return structured results to the App.

These parties process the data only to provide the import feature you initiated. The App does not integrate advertising networks or third-party analytics SDKs.

Data Backup and Export

TruckExpense includes a built-in backup and restore feature. When you create a backup:

A JSON file is generated on your device containing your financial records and trip data.

This file is shared via iOS’s standard sharing interface (AirDrop, Files app, email, etc.).

You control where this file goes. The App does not send it anywhere automatically.

If you choose to store this backup in iCloud Drive or share it via email, that action is governed by Apple’s or your email provider’s privacy policy, not ours.

Data Retention

Your locally stored data remains on your device for as long as you use the App. You can delete individual records at any time within the App. Deleting the App removes associated local data from your device.

For optional AI fuel imports, statement content is processed to complete your request. We do not keep a lasting archive of your uploaded statements for our own use. Third-party processors (Cloudflare, Google) may retain technical logs or process data according to their own policies and retention periods.

Children’s Privacy

TruckExpense is not directed at children under the age of 13. We do not knowingly collect data from children. The App is intended for use by professional truck drivers and business operators.

Your Rights

You remain in control of your data:

Access: View your data within the App at any time.

Export: Use the built-in backup feature to export your data.

Delete: Delete individual records or uninstall the App to remove local data.

Fuel AI import: Simply do not use AI import, or use only on-device parsing for supported formats, if you prefer that statement files never leave your device.

Location Permission: Revoke location access at any time in iOS Settings → Privacy & Security → Location Services → Truck Expense.

Location Permission Details

TruckExpense may request the following location permissions.

“While Using the App” — Used for manual trip tracking when the App is open in the foreground.

“Always” — Used for the Auto-Start Tracker feature, which automatically detects and records driving trips in the background. This permission is optional. If you prefer not to grant “Always” access, you can use manual trip tracking instead, which only requires “While Using” permission.

You can change location permissions at any time in:

iPhone Settings → Privacy & Security → Location Services → Truck Expense

Photo and Files Access

TruckExpense may request access to your photo library or Files so you can:

Attach receipt photos to transactions

Import fuel card statement screenshots or documents

Save load photos (for example, from trailer features) to your library when you choose

Access is used only for features you initiate. We do not scan your photo library in the background.

Third-Party Services

TruckExpense uses the following services and Apple frameworks:

Apple MapKit — Used to display route maps and calculate driving directions for the Recover Missing Trip feature. Route calculation requests are sent to Apple’s servers. See Apple’s Privacy Policy: https://www.apple.com/legal/privacy/

Apple WidgetKit — Used to display the mileage tracking widget on your home screen. Data is passed locally between the App and the widget via App Group storage.

Cloudflare Workers — Hosts our fuel-statement processing proxy used only when you choose AI-assisted fuel import. See Cloudflare’s Privacy Policy: https://www.cloudflare.com/privacypolicy/

Google Gemini API — Used only when you choose AI-assisted fuel statement import to extract purchase lines from the file or image you selected. See Google Privacy Policy: https://policies.google.com/privacy and Google’s generative AI / Gemini API terms.

No advertising SDKs or third-party analytics SDKs are used.

Changes to This Policy

If we make material changes to this Privacy Policy, we will update the Last Updated date at the top of this page. We encourage you to review this policy periodically.
